Documents Required for Study Holiday Enrolment
Start your study journey on the right foot with Astrolabio – your experienced partner who will handle every logistical detail, from flights to transfers. While we take care of the organisational side, there are a few personal documents you’ll need to keep handy to ensure everything runs smoothly.
What You Need to Prepare
● Personal ID
Every great adventure begins with a small step: make sure you have a valid form of photo ID. This could be your identity card for destinations within Europe, or your passport if your dream takes you further afield. Even though we’ll handle the practical side of your journey, having the correct identification is your key to the world.
● Enrolment Confirmation
Shortly before departure, you’ll receive a confirmation of enrolment from your trip organiser – an essential document that serves as proof of your place on the programme. Keep it with you at all times; it will be your entry ticket into new classrooms and cultures.
● Travel Documents
Around one month before departure, we’ll email you all the necessary travel tickets, including all the essential details. Bring them with you – they serve as proof of your participation in the study programme and may be requested at any point.
Documents Required for Non-Italian Citizens
If you live and study in Italy but are not an Italian citizen, it’s vital to begin preparing for your journey well in advance. We strongly recommend contacting the consulate or embassy of your destination country at least four months before departure. These offices are your key resource for understanding and obtaining all the documentation needed for your stay abroad – including entry visas and other legal formalities.
Make sure you have all the relevant information to meet the specific requirements set by your destination country. We’re here to support you every step of the way, but remember: the responsibility for obtaining and checking your documents lies with you and requires your proactive attention.
Country-Specific Document Requirements
Every country has its own rules when it comes to welcoming international students. That’s why it’s crucial to research and prepare the documents required for your chosen destination.
If You’re Travelling to the UK
Many of our study holidays take you to the UK to learn English. If your programme leads you into Britain’s foggy charm, remember that you now must have a biometric passport. If you don’t already have one – or need to renew it – apply as early as possible, as passport offices in Italy are often slow. You can find all necessary information on the official UK government website.
For Study Holidays in the USA, Canada, and South Africa
If you’re travelling to destinations outside the EU, you must have a passport valid for longer than the duration of your stay. For South Africa specifically, make sure you have at least two blank pages for entry stamps.
Depending on your destination country, you may also need an electronic visa. The USA, for example, requires an ESTA (which is easy to obtain online), while Canada requires an eTA. Both of these authorisations are mandatory to ensure hassle-free entry.
For Children Under 14
In addition to the documents listed above, children under 14 must carry a Parental Consent Form, which allows them to travel accompanied by a group leader. This document ensures their safety during the journey and can be obtained from your local police headquarters (Questura).
Health Documents and Insurance
Beyond the red tape, you must ensure that your health and safety are fully accounted for before departure. Don’t worry – Astrolabio provides full support to make this process easy and straightforward.
Peace of mind is crucial when you’re far from home. That’s why every Astrolabio study holiday package includes the Polizza Amica, an insurance policy that covers medical expenses as well as damage to or theft of your luggage. Travelling with this protection allows you to focus on what truly matters.
Vaccination Certificates
All participants – both Italian and international – must check the vaccination requirements of their destination. In addition to the information we’ll provide, we recommend consulting the official websites of the Ministry of Foreign Affairs, Viaggiare Sicuri, and the World Health Organization (WHO).
Be sure to carry your vaccination booklet, your health card, and any medical certificates relating to allergies, dietary needs, or food intolerances – in both original and copy – just in case.
Documents for Special Medical Needs
If you have a medical condition requiring regular attention – such as severe allergies or the need to take daily medication – you must provide Astrolabio with a detailed medical certificate at least two months before departure. This helps us arrange appropriate support and inform host facilities of your specific needs.
We aim to welcome all students, including those with serious medical conditions or physical disabilities. However, acceptance depends on the host organisation’s ability to support individuals who are not fully self-sufficient.
In some cases, the presence of a tutor may be required – the cost of which must be covered by the student’s family. This is why it is essential to declare any existing conditions at the time of enrolment to ensure proper support is arranged.
Astrolabio is committed to offering a safe and enriching experience, but please understand that we cannot take responsibility for early repatriations caused by undeclared medical conditions.
Final Checks Before You Travel
International rules and entry requirements can change quickly. That’s why we recommend checking the official Polizia di Stato and Viaggiare Sicuri websites regularly to ensure that your documents are fully up to date and meet the latest guidelines.
When preparing for your trip abroad – especially if it’s your first – a bit of extra diligence will help you travel with peace of mind, knowing you’ve done everything necessary for a smooth and compliant experience.
Before departure, read your TRAVEL DOSSIER thoroughly. You’ll receive this by email and it contains everything you need to know for your study holiday.
At Astrolabio, our goal is to remove every bureaucratic obstacle that could distract you from the true purpose of your trip: to learn, explore, and grow. With the right documents in hand, you’re ready to set off for new horizons and begin writing the next chapter of your life.
